OVERVIEW

Responsible for the execution of business specific processes using software development lifecycle and/ project management life cycle, develop and analyze reports and day to a day administrative activities as needed

RESPONSIBILITIES

  • Manage the department’s yearly strategic planning process and report monthly metrics to the Strategic Planning committee
  • Source, coordinate and manage all of the divisions off-site and special events
  • Coordinator for numerous one-off internal business projects with management, which includes logistical, operational, and budget implications. Ensure adherence to project timelines and standards, (e.g. restructuring meetings for efficiency, developing divisional reporting processes)
  • Liaison with human resources to support needs for the division, including assistance with job descriptions, staff requisitions, recruitment, background checks, offer letters, employee status changes, new hire onboarding and training
  • Administrative support for executive leaders including meeting management, expense reports, travel and mailing needs
  • Responsible for maintaining space plan and working with facilities and IT to coordinate moves
  • Responsible for tracking invoices and ensuring they are processed and paid in a timely manner by accounts payable
  • Coordinate staff events, such as staff appreciation lunches, events lead by the culture committee, quarterly sales meetings and quarterly town halls
  • Perform other related duties as required and assigned

QUALIFICATIONS

  • Bachelor’s Degree in Communications, Business Administration or related field required
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Visio) or the equivalent G-Suite products (Sheets, Docs, Slides), including but not limited to Pivot Tables, Lookups functions, and basic formulas.
  • Excellent interpersonal and verbal/written communication skills a must
  • Excellent organizational skills a must
  • Ability to handle confidential information and understand the need for discretion is a must
  • Experience in Loan Servicing and/or Loan Origination a plus
  • Data analysis experience a plus
  • Must be a team player with strong attention to detail, with the ability to work independently
  • Proven track record at delivering timely and accurate information in a fast-paced environment
  • Excellent critical thinking, problem solving and mathematical skills, using sound judgment
  • Willingness to learn new skills and aspects of the business
  • Financial Services and, if possible, mortgage industry experience preferred
  • Human Resources & administrative experience preferred
  • Strong business acumen and ability to interface with executive management
